Re: V.E.P Team Project Update

I am thoroughly looking forward to continuing our relationships and working on this project with you all. As you all have somewhat of an idea of, shows and events are a huge interest of mine, something that I have been around a great deal of my life. Throughout the numerous meetings and discussions we have had thus far I can state with confidence I believe the attendance rates for the events and shows at the Wild Buffalo will most definitely increase. I am somewhat new to the field of event and music promotion when it comes to hands on experience. I have been around various promoters and promotional companies gaining an understanding of the work and bigger picture at hand. This is exactly the type of project I was hoping to work on in my leadership practicum course, with an organization with people and a culture I enjoy. Below is a summary of my project thus far:

Accomplished the week of January 6th – January 13th

  • Met with you all and discussed potential projects (January 6th)

  • Met with you all and finalized project idea, establishing guidelines and contract (January 10th)

  • Met with you all for the weekly promotion meeting (January 13th)

Accomplished the week of January 14th – 21st

  • Met with you all for the weekly promotion meeting (January 20th)

  • Met with you all having the finalized infrastructure for the V.E.P promotion team, going viral to recruit volunteers (January 21st)

    • Created the V.E.P volunteer packet

    • Finalized and edited the pre-volunteer survey

Accomplished the week of January 22nd – January 29th

  • Begun sifting through survey answers, choosing potential volunteers and contacting them

  • Giving volunteers virtual reminders to promote via social media and handing them “promo” to disperse in person

  • Monitoring volunteers contributions

Plan for the week of January 30th – February 6th

  • Give volunteers virtual reminders to promote via social media and hand them “promo” to disperse in person

  • Continuously look for new possible members to add

  • Monitor volunteers contributions

  • Set a up a meeting at the Wild Buffalo with as many V.E.P members in attendance as possible

  • Helped create a document & system for distributing drink discounts to volunteers

I feel I have learned a lot and gained great experience carrying out this project with all of you at the Wild Buffalo. Prior to this I had never solely led a team of this size, having no experience monitoring and motivating others to accomplish volunteer work. • Gave volunteers virtual reminders to promote on social media as well give them “promo” to disperse in person

  • Planned and held another V.E.P team meeting

  • Search specifically for new volunteer(s) to promote indie and alternative shows

  • Inform volunteers more about the “divide and conquer” plan for the back to back shows the second week of March

  • Added one new member to the V.E.P team

  • Ran the Wild Buffalo’s official snap chat for the show on Friday February 26th – Odesza’s horn section

Plan for the week of February 30th – March 6th

  • Monitor volunteers contributions

  • Give the volunteers reminders to promote on social media as well as give them “promo” to disperse in person

  • Create a promo plan for the numerous amount of shows coming up

I look forward to growing and continuing to build our relationships.

Sincerely,

Zack Fijal
